Cover Letter – Definition
Cover letter is a general term that is used to describe letters used in a variety of different situations, depending on exactly “what” the letter is “covering”.
Essentially, a cover letter is a letter of transmittal that is used to convey an attached document(s) to a second party. For example, a cover letter is generally used to convey a resume or curriculum vitae to a prospective employer.
However, cover letters are also used to convey many other types of documents that are not related to employment such as: reports, plans, legal papers, photos, artwork, etc.
In fact, there is a lot of confusion online about the exact meaning of the term 'cover letter'. If you search around online, you will notice that many so-called “experts” claim that cover letters are strictly limited to resume cover letters. This simply is not correct. Although resume cover letters may be the most common specific type of cover letter, there are many other types of cover letters as well.
The general confusion exists because, when most people use the “cover letter” term they don't realize that there are two main types of cover letters. There are 'document transmittal cover letters', and there are 'resume cover letters'.
Resume Cover Letters
When most people use or hear the term 'cover letter' they are thinking of resume cover letters.
Resume cover letters are used for one purpose only; to convey a resume or curriculum vitae to a prospective employer.
A resume cover letter is normally a concise one-pager that introduces you, explains why you're writing, summarizes your key skills, abilities and experience, and asks the recipient to get back to you. Its main purpose is to capture the attention of the recipient enough to get that person to look at the attached resume with interest.
Document Cover Letters
A document cover letter is a letter of transmittal that explains and conveys an attached document to a second party.
The types of documents that this type of cover letter is used for typically include: reports, plans, legal papers, applications, manuscripts, contracts, travel documents, booklets, manuals, brochures, product samples, photos, artwork, etc.
A document cover letter is normally a short one-page business letter that very briefly explains the attached or enclosed document(s) that is being sent. It only contains the essential information such as why the document(s) is being sent, what the recipient is expected to do with it, and any applicable deadlines.
Sample Cover Letters
Following are three sample cover letters. The first is a resume cover letter and the other two are cover letters for typical business situations:
Cover Letter – to transmit a job resume to a prospective employer.
Cover Letter – to send an annual report to another company.
Cover Letter – to send a franchise application to prospective customer.
These are just a few samples. As I stated above, there are many other business situations in which cover letters are used to transmit various types of documents.
Real-Life Cover Letter Templates
The thing that makes the above three cover letter examples different from what you will typically find online is that they are 'real-life templates'. In other words, they are complete, fully-formatted letters, written by professionals for actual real-life situations.
These are NOT your typical fill-in-the-blanks templates. They are complete letters that one can quickly learn from and adapt to fit one's own situation.
When you need to write a cover letter for a business situation, it is always helpful to have some real-life samples that show you exactly how a professional writes a letter for a similar real-world situation. Bensoftware.
